Automobile Service & Maintenance ERP
A complete IT business automation suite for workshops, garages and service centres — from job card creation to invoicing, inventory to vehicle history, with brand-wise and plate-wise income analysis.
Key challenges
What workshops tell us goes wrong
Data scattered across departments
Reception, workshop, stores and accounts each holding part of the picture.
Manual job card handling
Delays, lost cards and errors that only surface at invoicing.
Manual parts tracking
Wastage and misuse with no link between issue and job.
Server maintenance cost
High cost of physical servers, backups and IT overhead.
No service performance view
No clear analysis across brands, plate types or mechanics.
Disconnected billing
Billing, inventory and workshop operating as separate islands.
Full control over the job card lifecycle
Create, cancel, reopen and close job cards with one-click status management. Invoicing links directly to closed jobs, so nothing is delivered without being billed. Alerts fire on cards left open too long, and parts pricing updates automatically from average cost.
The result is streamlined job allocation, less downtime and rework, and billing that matches what the workshop actually did.
Create, cancel, reopen, close
Complete job card lifecycle with one-click status control.
Invoicing linked to closed jobs
No job closes without its invoice path, no invoice without its job.
Ageing alerts
Cards pending too long surface before the customer calls.
Auto parts pricing
Selling price updated from average cost across receipts.
Mechanic allocation
Assign work by skill and availability, with labour cost per mechanic.
Estimation vs actual
What you quoted against what it cost, on every job.
Vehicle, customer and inventory
Everything attached to the job card
Vehicle master
Brand, model and plate type, with lookup by registration or chassis number.
Document capture
RC book, insurance and photographs uploaded and linked to the job card.
Vehicle history
Centralised service history across every visit, whoever booked it in.
Customer profiles
Contacts, outstanding balances and service preferences in one record.
Material issue & return
Parts issued against job cards with real-time inventory deduction.
Sundry issues
Small items and services handled without breaking the costing model.
Labour costing
Cost calculated per mechanic and rolled into job profitability.
Pricing integration
Selling price and cost linked to each item through the parts master.
Workshop tracking
Real-time view of bays, jobs in progress and utilisation.
Reporting
Deep operational and financial reporting
| Report | What it answers |
|---|---|
| Job value report | Revenue by vehicle, date and mechanic. |
| Major complaint analysis | Which faults recur, on which brands and models. |
| Cars not reported | Vehicles due for service that never came back — missed follow-up revenue. |
| Material consumption | Parts used per job against the expected baseline. |
| Individual mechanic performance | Throughput, rework rate and value delivered per technician. |
| Job card audit trail | Who created, changed and closed each card, and when. |
| Service estimation vs actual cost | Where quoting is drifting away from reality. |
| Open job card summary | Everything in the workshop right now, by age. |
| Workshop utilisation heatmap | When the bays are full and when capacity is idle. |
Visibility
Real-time insight by role
Dashboards
Monthly job card status — open, closed, invoiced and cancelled. Monthly service revenue and expenses. Plate-wise and brand-wise income analysis. Quotations issued against services delivered. Top five vehicle brands and plate types by revenue.
Role-based views
Dashboards tailored separately to managers, mechanics and finance teams, so each role sees the metrics that belong to them rather than one crowded screen shared by everyone.
Questions
Frequently asked questions
Does the automobile ERP work for multi-branch service centres?
Yes. Multi-company and multi-branch operation is standard, with each branch seeing its own data and management able to view consolidated performance where that is part of the agreed scope.
Can we look up a vehicle by chassis or registration number?
Yes. Vehicle lookup works by registration number or chassis number, and returns the full centralised history across every prior visit, with RC book, insurance documents and photographs attached to the relevant job cards.
How is parts consumption controlled?
Material issue and return is booked against a specific job card, with real-time inventory deduction. Sundry issues cover small items without breaking the costing model, and material consumption reporting compares actual usage against the expected baseline for that job type.
Is it cloud-hosted or installed on our own server?
Both options are available. Cloud hosting removes server and backup cost entirely, which is one of the more common reasons workshops move. On-premise installation is supported where IT policy requires it.
Can it show which vehicles are due back for service?
Yes. The cars-not-reported report identifies vehicles due for service that have not returned, which is usually the largest single pool of recoverable revenue in a workshop.
